General Responsibilities

The primary purpose of the Rent2Buy Vehicle Specialist is to provide excellent customer service to our customers when assisting reserving and locating the R2B vehicle. Create a positive experience for the customer when notifying them of the condition, mileage and color of the vehicle. This person is to work with the field and the customers to notify them of vehicle readiness.

  • Confirm &/or Book reservation in Excalibur

  • Confirm &/or place D hold on car

  • Check ASAP for car availability and check for Neverlost indicator

  • Check Carrent for EZPass indicator to have them removed

  • If car is on rent look at due date & set reminder to follow up

  • Notify customer if the rental has been extended by the current rental customer past R2B reservation date

  • If car is not on rent - contact location for status/condition of the vehicle

  • Look up location hours of operation, phone number, and address to provide to the customer.

  • After location verifies the car (this may take several attempts to get a response from the location) – At least 1 day prior to scheduled pickup, notify the customer the condition, mileage, color - interior/exterior. Flag the car in Advent & R2B about Neverlost. Notify that if the car has Neverlost that it is not included in the sale of the car.

  • Contact customer via phone, text and or email

  • Stay in contact with the location on unresolved reservations until a) the car is made ready and the customer is advised, b) the car is determined not to be available or suitable for sale, and the customer is so advised, or c) the customer decides not to wait any longer.

  • Update Rent2Buy check list and note R2B of how contact was made.

  • Work emails in their R2B mailbox

  • Work incoming phone calls from customers and field

  • When the "No-show" report is received, make follow-up calls to the customers to see if they're still interested and need to reschedule. If so, adjust pickup date and leave booking active in the R2B database. If not, cancel the reservation. If no answer, leave a voicemail (if available) advising the customer that the reservation will be cancelled and encourage them to go back online to rebook.

  • If a customer decides they don't want the car and want the reservation cancelled (customers call in or email), vehicle specialist cancels the reservation and document in the system the reason. The call or customer contact is transferred to the sales team to assist in recovering the sale by moving the car or helping the customer in finding another car.

Mandatory Requirements

Educational Background:

  • High School diploma

Professional Experience:

  • Committed to providing excellent customer service

  • Call Center experience preferred

  • Hertz reservation experience preferred

Knowledge:

  • Familiarity with Rent2Buy program

  • Knowledge of rental car business

  • Carrent & Vision experience helpful

  • ASAP experience helpful

  • Excalibur experience

  • Familiarity with Car Sales helpful

Skills:

  • Well developed verbal communication skills

  • Well developed organization skills

  • Well developed Customer service skills

  • Ability to work independently and as a team member

  • Must be able to work shift hours and Saturdays
